Terms and Conditions

1. Definitions

"Company" means SouthWest Cars, a private hire vehicle operator licensed by Transport for London (TfL).

"Passenger" means any person using our taxi services.

"Booking" means a request for taxi services made by a passenger.

"Fare" means the total amount payable for the journey including any applicable charges.

"Driver" means a TfL licensed private hire driver operating our vehicles.

2. Service Provision

SouthWest Cars operates as a licensed private hire vehicle operator under TfL regulations. All our drivers hold valid TfL private hire driver licenses and operate licensed private hire vehicles.

We provide taxi services throughout Greater London and to major airports including Heathrow, Gatwick, Stansted, and Luton.

Our services are available 24/7, subject to driver availability and operational requirements.

3. Booking and Cancellation

Booking: Bookings can be made by calling 020 8946 5000. All bookings are subject to availability.

Cancellation: Passengers may cancel bookings up to 15 minutes before the scheduled pickup time without charge. Cancellations made less than 15 minutes before pickup may incur a cancellation fee of £5.

No-Show: If a passenger fails to appear within 5 minutes of the scheduled pickup time, the driver may leave and a no-show fee of £10 may be charged.

4. Fares and Payment

Fare Calculation: Fares are calculated based on distance, time, and traffic conditions. We provide fare estimates upon booking but final fares may vary.

Payment Methods: We accept cash, major credit/debit cards, and contactless payments. Corporate accounts are available for business customers.

Additional Charges: Airport drop-off fees, congestion charges, and toll charges are additional to the base fare and will be clearly communicated.

Receipts: Electronic receipts are available upon request.

5. Passenger Responsibilities

Passengers must:

  • Provide accurate pickup and destination addresses
  • Be ready at the designated pickup location at the scheduled time
  • Wear seatbelts at all times during the journey
  • Not smoke, eat, or drink in the vehicle without permission
  • Treat the driver and vehicle with respect
  • Pay the agreed fare upon completion of the journey

6. Prohibited Activities

The following activities are prohibited in our vehicles:

  • Smoking (including e-cigarettes)
  • Consuming alcohol or illegal substances
  • Vandalism or damage to the vehicle
  • Abusive or threatening behavior towards drivers
  • Transporting dangerous or illegal items
  • Exceeding the maximum passenger capacity

Passengers engaging in prohibited activities may be refused service and required to leave the vehicle immediately.

7. Lost Property

Lost property found in our vehicles will be held for 30 days. Passengers should contact us immediately at 020 8946 5000 to report lost items.

Items of value (phones, wallets, etc.) will be reported to the police if not claimed within 48 hours.

We are not responsible for any loss or damage to personal belongings left in our vehicles.

8. Liability and Insurance

Our vehicles are fully insured for passenger liability as required by TfL regulations. Comprehensive insurance covers passenger injury and vehicle damage.

We are not liable for delays caused by traffic, weather conditions, road closures, or other circumstances beyond our control.

Passengers are responsible for any damage they cause to the vehicle interior or exterior.

9. Accessibility

We provide wheelchair accessible vehicles upon request. These vehicles comply with TfL accessibility requirements.

Passengers requiring accessibility services should inform us at the time of booking to ensure appropriate vehicle allocation.

Our drivers are trained to assist passengers with mobility needs.

10. Complaints and Disputes

Complaints should be made within 7 days of the incident by calling 020 8946 5000 or emailing info@southwestcars.co.uk.

We will investigate all complaints and respond within 5 working days.

If you are not satisfied with our response, you may contact Transport for London's private hire licensing team.

11. Data Protection

We collect and process personal data in accordance with UK GDPR and our Privacy Policy. Personal information is used solely for providing taxi services and is not shared with third parties without consent.

We may record CCTV footage in our vehicles for safety and security purposes.

12. Force Majeure

We shall not be liable for any failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to:

  • Severe weather conditions
  • Natural disasters
  • Government restrictions or lockdowns
  • Industrial action
  • Major traffic incidents

13. Changes to Terms

We reserve the right to modify these terms and conditions at any time. Updated terms will be posted on our website and will be effective immediately.

Continued use of our services after changes constitutes acceptance of the new terms.

14. Governing Law

These terms and conditions are governed by English law and are subject to the jurisdiction of the English courts.
